KidPro’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
1. Who controls the information
Each school controls the child, parent, teacher and school information entered into its KidPro workspace. KidPro processes that information to provide the service requested by the school. Parents should contact their school first about records connected to their child.
2. Information we process
- School and staff account details, including names, contact information and login records.
- Child and parent information supplied by the school, including profiles, class details, attendance, milestones, activities, submissions, photos and videos.
- Technical information needed to operate and secure the service, such as browser details, timestamps and authentication records.
- Limited child-profile visit information, including the logged-in username when available, visitor type, device type, profile section, timestamp and a masked IP address. This information is visible only to the relevant school administrator.
- Subscription and payment status. Payment providers may process payment details under their own privacy policies.
3. How information is used
We use information to operate KidPro, authenticate users, deliver school and parent features, store and display authorized learning records, send requested notifications, provide support, maintain security and improve service reliability. We do not sell personal information or use child information for advertising.
4. Google Drive data
When a school administrator chooses to connect Google Drive, KidPro requests the drive.file permission and basic account email access. This allows KidPro to create and manage only the Drive files and folders used through KidPro, including uploaded photos, videos, artwork and activity submissions. KidPro does not request general access to unrelated Drive files.
KidPro stores the connected Google account email, an encrypted OAuth refresh token, Google file identifiers and file metadata needed to operate the integration. The refresh token is used only to upload, retrieve and manage KidPro-created media and to display storage information requested by the school.
5. Sharing and disclosure
Information is shared only with authorized users linked to the relevant school or child, service providers needed to operate KidPro, or authorities when legally required. Google user data is not sold, used for advertising, or transferred for purposes unrelated to providing the requested KidPro functionality.
6. Storage, security and retention
KidPro uses access controls, password hashing, encrypted authorization tokens and transport encryption to protect information. No system can guarantee absolute security. Records are retained while the school account is active or as needed to provide the service, meet legal obligations and resolve disputes. Child-profile visit analytics are retained for up to 90 days.
7. Disconnecting Google Drive and deleting data
A school administrator can disconnect Google Drive from KidPro’s Storage settings. Disconnecting deletes the saved Google authorization token and stops new KidPro uploads to Drive. Files already created in the school’s Google Drive remain under the school’s control and can be deleted directly in Google Drive. Schools may contact KidPro to request deletion of stored integration metadata or their workspace data.
8. Children’s privacy and parent access
KidPro is provided to children through their school and is intended to be managed by authorized adults. Schools are responsible for obtaining appropriate parent or guardian permission before publishing or sharing child information. Public child profiles require school controls and recorded parent consent.
9. Choices and rights
Schools and authorized parents may request access, correction or deletion of applicable information. Availability of particular rights depends on local law and the school’s responsibilities as the controller of its records.
10. Updates
We may update this policy as KidPro changes. The effective date will be revised when material changes are published.
